What is n8n automation? A guide for Irish SMEs

n8n automation links your forms, CRM and email so routine work runs itself. See what to automate first, plan prices and data protection basics.

A cinematic Irish town street at dusk with a glowing automation emblem in a shop window, representing n8n automation for Irish SMEs.

n8n automation joins the software an Irish business already uses, so routine work moves between those systems without anyone copying and pasting. A website enquiry can arrive, be checked, land in the customer database and get a reply, all from one flow. This guide explains what n8n is, what a small Irish business should automate first, what the plans cost, and when a simpler tool is the better buy.

Key takeaways

  • n8n is a workflow automation tool that combines AI capability with business process automation.
  • Automate lead routing, CRM updates, form and email replies, approvals and reporting before anything ambitious.
  • Official plan prices at the time of writing: Starter 20€, Pro 50€ and Business 667€ per month, each billed annually.
  • Simple, single-app tasks are often quicker in Make or Zapier; n8n suits longer, multi-step or AI-assisted work.
  • Allow time for setup, permissions and a data protection check before the first workflow goes live.

What is n8n automation?#

According to n8n Docs, n8n is a workflow automation tool that combines AI capabilities with business process automation. In plain English, workflow automation (Software that moves tasks between apps without manual steps.) means one system hands work to another without anyone retyping it. The wider subject of automating whole processes is covered in Baikou’s process automation guide, so this article stays with n8n itself.

Imagine Brendan, who runs a small commercial cleaning company in Ballina, County Mayo. Enquiries reach him by phone, email and website form, and his office team retypes each one into a CRM (Software that holds customer details, calls and sales notes.)

A workflow is built from simple parts. A trigger (The event that starts a workflow running.) starts it, such as a new form entry or an email landing in a shared inbox. A node (A single step in an automated workflow.) then does one job: checking details, looking something up or sending a message. Where two systems need to talk, n8n uses an API (A way for two software programs to talk to each other.), which is how one program asks another for something.

Credential settings hold the logins that let a workflow reach each app, and they are saved once and reused. Every complete run is an execution (One complete run of a workflow.), and paid plans are charged on how many run each month.

Two n8n workflows step by step#

With the vocabulary settled, two short examples show how the parts fit together. Both use a trigger, one or more nodes, saved credentials and, in the second case, a human approval step.

Workflow one: a website enquiry becomes a CRM contact and a reply

  1. Create a new workflow in n8n and add a trigger that fires when the website enquiry form is submitted.
  2. Add a node that checks the enquiry, for example whether the email address looks valid and whether the message mentions a service the business offers.
  3. Add the CRM credentials once, then a node that creates a contact and a deal record from the enquiry details.
  4. Add a node that sends a confirmation email to the enquirer.
  5. Add a final node that alerts the right team member, so a person still follows up.

Workflow two: an AI step sorts email and drafts a reply for approval

  1. Add a trigger that watches a shared inbox, such as the company’s info@ address.
  2. Add an AI node that reads each new email and sorts it into a group, such as a quote request, an invoice query or a complaint.
  3. Add a second AI step that drafts a reply using the message and the customer’s history in the CRM.
  4. Add the human approval step. n8n pauses the workflow and sends the draft to a named person, who can approve, edit or reject it.
  5. If the reply is approved, the workflow sends it and records the outcome; if it is rejected, the email goes to a person to handle.

What should an Irish SME automate first with n8n?#

Once the mechanics are clear, the harder question is where to start. Brendan’s rule is to automate the job that causes the most chasing, not the job that sounds the most impressive. These seven jobs come up most often in small Irish businesses.

Job to automateWhat the workflow does
Lead routingSends each new enquiry to the right person with the details attached
CRM updatesCreates or updates the contact and deal record automatically
Form and email repliesSends a confirmation and tells the team an enquiry has arrived
Document handoffsMoves quotes, invoices and signed forms into the right folder or system
ApprovalsWaits for a manager to approve a spend or a reply before anything is sent
ReportingGathers figures from several systems into one weekly summary
AI-assisted tasksSorts emails, drafts replies or summarises long documents for a person to check

Brendan starts with lead routing and the CRM update, because an enquiry that sits unanswered is work lost. Approvals follow next: a quote above a set value waits for his sign-off before it leaves the building.

Tip: Automate one job first and leave it running for a few weeks before adding the next.

A pricing infographic highlighting the Starter plan cost for Irish businesses considering n8n.

n8n pricing and plans for Irish businesses#

Cost usually decides how far a project goes, so the plans are worth understanding early. n8n charges monthly and by executions rather than by the number of workflows. According to n8n.io, Starter costs 20€ per month billed annually and includes 2,500 workflow executions, at the time of writing in October 2026. The same page lists Pro at 50€ per month billed annually with 10,000 executions and Business at 667€ per month billed annually with 40,000 executions.

PlanPrice when billed annuallyExecutions included
Starter20€ per month2,500
Pro50€ per month10,000
Business667€ per month40,000

In August 2025, n8n removed the active workflow limit on paid plans, so paid plans are now charged by executions alone, as the n8n Help Center set out at the time. Cloud Pro-2 Monthly customers can add extra runs at 2 euro plus sales tax per 1,000 extra monthly executions, up to 500,000, according to a second n8n Help Center article.

Note: Paid plans are charged by executions, so adding one more workflow costs nothing extra until the monthly execution count runs out.

For a small Irish business, Starter is usually the sensible first plan, and the execution count shown inside n8n is the signal to move up. Business becomes worth the jump when several people share workflows or when source control environments are needed.

n8n vs Make vs Zapier#

All three tools move work between apps, so the choice comes down to the job and the team behind it. Judge them on five things: how the price is charged, where data is stored and how that fits data protection, which systems they connect to, how easy the builder is for a non-developer, and the support on offer. Baikou’s guide to workflow management software covers the wider criteria in more detail.

ToolBest forMain limit
n8nLonger workflows with AI steps, and teams that want to self-hostNeeds more setup effort
MakeVisual automation built by a non-developerComplex scenarios take practice to read
ZapierQuick, straightforward automations between well-known appsBest suited to shorter workflows

Two points matter most in Ireland. First, n8n can run as a managed cloud service or on a server the business controls, while Make and Zapier are cloud services. Second, prices for Make and Zapier change often, so check each provider’s own pricing page rather than an old blog post; the n8n prices above come from n8n itself.

For a simple automation built by someone who is not technical, Make or Zapier will usually be the quicker start. n8n earns its place when a workflow has many steps, needs an AI step, moves high volumes or must run on infrastructure the business controls.

Cloud, self-hosting and data protection for Irish users#

Where the workflows run matters as much as what they do. Self-hosting means running n8n on a server the business controls, which appeals to firms that want everything inside the EU. It also means keeping that server patched, backed up and secure. The managed cloud service moves that work to n8n, but the data sits with the provider.

Before a workflow goes live, an Irish business should be able to answer four questions: what personal data passes through it, where that data is stored and for how long, who inside and outside the business can see it, and whether a data processing agreement is needed with each supplier. The Data Protection Commission is the Irish authority for data protection questions. This guide offers practical checks, not legal conclusions.

Brendan’s workflows carry customer names, site addresses and door codes, so he confirms where each system stores that data and puts an agreement in place before the first workflow runs.

Watch out: Testing a new workflow with live customer records is a common mistake. Use dummy records until the checks and approvals are in place.

Who owns the automation?#

Someone in the business has to own the automations, and that person needs the right level of access. n8n supports shared workflows with role and permission controls, so a manager can review an automation without editing it, as described in n8n Docs. Source control environments are available on the Business and Enterprise plans, according to n8n Docs, and they help separate test work from live work.

Decide early who owns each workflow, who may change it and who receives the error alerts. A non-developer can build and maintain simple workflows, and a short handover is usually enough. Once a workflow moves money, touches several systems or carries personal data, a technical review before each change is worth arranging.

How Baikou’s team runs approval-gated automations#

Baikou’s team builds workflows like the two above every day, mostly in Make, a tool that works on the same pattern of triggers, steps and saved logins. Enquiries from ad forms in several countries pass an SMS check, land in the CRM and get a follow-up drafted by an AI assistant that knows the company’s offers, and a person approves each one before it goes out.

Baikou’s own blog runs on the same principle: research, drafting and illustration are automated, but nothing is published until a person has read it and approved it. The building blocks carry straight across to n8n, so the choice between tools comes down to hosting, volume and who will maintain the workflows.

Putting n8n to work in an Irish business#

Even a good plan meets real systems and real paperwork. The workflow has to reach the tools already in use: accounting software for invoices and payments, the CRM for contacts and deals, the online shop for orders, and the inbox and calendar for everything else. Moving existing data is the slow part, because contact lists usually need cleaning first and duplicate records create duplicate automations.

Approvals deserve their own design. Decide which actions always need a person, such as refunds, discounts or messages to customers, and build that pause into the workflow. Train the staff who touch the automation, keep a one-page guide for each workflow and name a backup owner.

Expect edge cases too. Scanned supplier invoices, handwritten delivery dockets and PDFs from different systems are hard for an off-the-shelf tool to read correctly, so plan for a person to check anything that does not match. That is where outside AI automation support is usually worth paying for, especially when several systems and a data protection review are involved.

For new off-the-shelf subscriptions with their set-up and training, the Local Enterprise Office Grow Digital Voucher may part-fund the cost, so it is worth asking the local office before buying.

Start with one workflow, then grow#

If n8n automation is on the table, choose one repetitive job that causes the most chasing and automate that job first. Watch the monthly execution count, give every workflow a named owner and check where personal data goes before it goes live. Baikou helps Irish businesses with AI automation, from the first workflow through to the systems it connects to.

How these numbers were worked out

The plan prices and the execution top-up figure in this article come from n8n’s official pricing page and n8n’s own help centre, both checked in October 2026. They are a guide to what the plans cost at that time, not a quote. n8n sets its own prices and can change them, so check the pricing page before buying.

FAQ#

Does an Irish small business need a developer to run n8n?

Not for simple work. Anyone comfortable with spreadsheets and online tools can build a form-to-CRM flow and keep it running. Technical help becomes useful when unusual systems, heavy volumes or personal data are involved.

Is Zapier or Make a better fit than n8n?

It depends on the job rather than the brand. For a short automation built by a non-developer, Make or Zapier is usually the quicker route. Choose n8n when a workflow has many steps, needs an AI step or must run on a server the business controls.

Can n8n run entirely inside the EU?

Self-hosting lets the business choose the server and the country it sits in, and running it in Ireland or elsewhere in the EU keeps data close to home. The business then carries the work of securing that server and managing backups.

What happens when a workflow uses up its executions?

On paid plans the charge follows executions, and extra runs can be added on the Pro-2 Monthly cloud plan. Most small businesses see the count climbing before it becomes a problem, and it is a useful prompt to check whether a workflow is running more often than expected.
