AI automation agency in Ireland that takes the repetitive work off your team
Baikou builds AI automation for Irish businesses: assistants that read invoices and contracts, answer calls and website questions, and find answers in your own documents. We connect them to the tools you already use, keep a person in charge of every decision that matters, and run them either on leading cloud models paid from your own account or on a private model on your own servers.

What an AI automation agency should do for an Irish business
Most small and medium businesses do not need a strategy deck about AI. They need the hours their team spends typing invoices into Xero, answering the same phone questions and searching shared drives for the right policy given back. A good AI automation agency starts with one process that costs real time, builds an assistant that does it with a person checking the result, measures the time it saves, and only then moves on to the next one. That is how we work.
What we automate
AI automation services for Irish businesses
Document and invoice processing
Invoices, receipts and forms read automatically, checked against purchase orders and entered into Xero, Sage or your accounts system for approval.
AI voice receptionist
Calls answered day and night, questions answered, appointments booked in your calendar, and urgent calls passed to a person.
Website and WhatsApp chatbot
Answers customer questions from your own information, captures enquiries and hands over to your team inside your CRM.
Contract review
Contracts read clause by clause, risks and deadlines flagged and summarised for the solicitor who makes the decision.
Knowledge assistant
Your team asks questions in plain English and gets answers from your policies, procedures and files, with the source shown.
AI agents and workflow automation
Multi-step jobs across your tools, from enquiry to quote to follow-up, with rules where rules are enough and AI where judgement is needed.

Choosing the right tool
Chatbot, voice assistant, AI agent or workflow automation?
| Option | Best for |
|---|---|
| Workflow automation | Fixed steps between your tools, such as copying a form into the CRM or sending a reminder. Often no AI is needed at all |
| Chatbot | Answering the same customer questions on your website or WhatsApp and capturing enquiries |
| Voice assistant | Businesses that miss calls: clinics, trades, solicitors and anyone who books appointments by phone |
| Knowledge assistant | Teams that spend time searching policies, procedures and past files for answers |
| AI agent | Work that needs reading and judgement across several tools, such as triaging an inbox or preparing a quote, with a person approving the result |
The free audit tells you which of these fits your process, and when the honest answer is a simple automation rather than AI.
Four steps, with dates
How we build AI automation
| Step | What we do | What you get |
|---|---|---|
| 1. Auditweek 1 | Map the process, the documents and the tools involved; measure how long it takes today | The process worth automating first, and what it costs you now |
| 2. Planweek 2 | Choose the option, the model and where the data lives; agree what a person must check | A written plan, a fixed scope and a fixed price |
| 3. Build and testdates in the plan | Connect your tools, build the assistant and test it on your real documents and calls | An automation that works on your data, not on a demo |
| 4. Run and improveevery month | Monitor results and errors, adjust prompts and rules, train your team | A monthly report on work done and time saved |
Cloud models or a private model on your own servers
Every assistant we build can run in one of two ways, and you choose per project.
Cloud models
- leading models from OpenAI, Anthropic, Google or Mistral, chosen for the task, with no partnership tying us to one;
- paid per use from your own account, so you see the real cost and keep the account if we part ways;
- EU data hosting where the provider offers it, and business terms that keep your data out of model training;
- the fastest way to start and the best choice for most small businesses.
Private model
- an open model running on your own server or in an Irish or EU data centre you control;
- nothing leaves your network, which suits solicitors, clinics and anyone handling sensitive files;
- a fixed running cost instead of paying per use;
- more set-up work, so we recommend it when the data or the volume justifies it.
The rules
GDPR and the EU AI Act built in
AI that reads documents and talks to customers handles personal data, so GDPR applies from day one, and the Data Protection Commission enforces it in Ireland. We decide with you where the data is stored and for how long, carry out a data protection impact assessment where one is needed, and sign a data processing agreement. The EU AI Act adds its own rules: people must be told when they are talking to an AI, and higher-risk uses, such as decisions about credit or hiring, need human oversight. Our chatbots and voice assistants say they are AI, and the decisions that matter stay with your team. We are not lawyers: the DPC and the EU AI Office have the final word.
Reporting
What you see in every report
- how many documents, calls or questions each automation handled;
- how many went to a person, and why;
- errors found and what we changed to fix them;
- time saved against the measurement from the audit;
- what we suggest automating next.
Your accounts, your data and the automations stay yours. If we stop working together, everything keeps running in your systems.

Businesses we automate for
AI automation pays off fastest where skilled people spend hours on routine work: law firms reading contracts, clinics answering calls and booking appointments, accountants entering invoices, online shops answering the same customer questions, and trades and B2B firms chasing quotes. If a process happens a few times a month, we will tell you it is not worth automating yet.
AI automation across Ireland: Dublin, Cork, Galway and beyond
We work with businesses in every county, from Dublin firms with large document volumes to practices and companies in Cork, Galway, Limerick and Waterford. We are based in Galway and work remotely and in writing, so where you are makes no difference to the build. We also work with businesses in the UK.

FAQ
AI automation questions Irish businesses ask us
How much does AI automation cost?
It depends on the process and the data. Start with the AI Audit, which has a fixed price on our pricing page; after it you get a fixed price for the build. Model costs are paid from your own account, so you always see them.
Which AI model do you use?
The one that fits the task: models from OpenAI, Anthropic, Google or Mistral in the cloud, or an open model on your own server. We have no partnership that ties us to any of them.
Does our data leave Ireland or the EU?
Only if you agree to it. We use EU hosting where the provider offers it, or a private model on a server you control, and we write down where every piece of data is stored.
Can it work with Xero, Sage, Microsoft 365 or our CRM?
Usually yes. The audit checks every tool involved and confirms how we connect to it before you commit to the build.
What happens when the AI gets something wrong?
Anything that matters goes to a person to approve, and every error is logged and fixed. The monthly report shows how many cases went to your team and why.
Do we need to tell customers they are talking to an AI?
Yes. The EU AI Act requires it, and our chatbots and voice assistants say so at the start of every conversation.
How long does a project take?
The dates are fixed in the plan in week 2, once we know the process and the tools. We start with one process, so you see results before anything grows.
Do you work with UK businesses?
Yes. The same approach works under UK GDPR, and prices are available in pounds.
